Receptionist – Bilingual (English/French)
Full-Time: 8:00am – 4:00pm or 12:00pm – 8:00pm

Position Overview
In this role you will be the face of the company, meeting and greeting clients and also be front-line contact responsible for responding, directing and distributing all incoming inquiries and
information (phone, email, or in-person). The role also coordinates administrative services and assists with administrative duties as required.
Accountabilities
- Greet, assist and direct visitors.
- Receive, respond to and direct incoming calls.
- Respond efficiently to general inquiries by various methods (i.e., phone, e-mail, mail).
- Coordinate the reservation of boardroom meeting rooms.
- Maintain a professional reception area; including dissemination of information materials.
- Pick up, sort, open and distribute incoming mail and coordinate outgoing mail.
- Open, respond to and distribute incoming e-mails in general mailboxes and process changes on member records.
- Follow up on all returned mail and email to update records.
- Assist in faxing, photocopying and preparing courier packages.
- Code shared services invoices and respond to all suppliers/service providers inquiries.
- Manage Grand & Toy and Staples accounts – setup and deactivation of accounts as required.
- Monitor office and kitchen supplies and reorder when required.
- Facilitate inter-office communication including updating telephone list.
- Maintain employee licence plate listing.
- Manage taxi chit distribution and log.
Key Deliverables during First 12 to 24 Months
- Coordinate coding and authorization of invoices requiring multiple signatures (i.e., courier, phone, etc.).
- Order office and other supplies and maintain adequate inventory levels ensuring good quality and competitive prices (including coordinating shedding company).
- Liaise with Building management and other suppliers and service providers.
- Coordinate long distance codes and calling cards, conference calls and accounts, access cards, etc.
Qualifications and Requirements
- Fluently bilingual is required, English and French, both written and spoken.
- Post-secondary education, an asset.
- 1+ year office experience; experience in reception duties is preferred.
- Good listening skills and ability to follow instructions.
- Customer focused with excellent interpersonal skills.
- Ability to work in a team and be collaborative.
- Organized with good time management skills.
- Strong MS office and keyboard skills.
- Ability to work with field offices considering cross-cultural sensitivities and respect at all times.
- Ability to work effectively in teams and independently; demonstrating initiative and creativity when solving problems.
- Flexible with ability to meet deadlines and adhere to organizational policies and procedures.
- Experience with a multinational organization.
- Excellent diplomatic, interpersonal and communication (written and verbal; phone and in-person) skills.
- Ability to prioritize and effectively execute tasks in a high-pressure environment is crucial.
- Strong initiative, assertiveness, negotiation, problem-solving, and decision-making skills.
- Good logical, interpersonal, written and oral communication abilities with a strong attention to detail.
- Organizational, planning, information gathering and monitoring skills.
