Position Overview
The Director – Project Management Office (PMO) will lead the way in establishing, implementing, developing, and controlling best practices for project management throughout Kallo, which will include defining and documenting all policies and processes of project lifecycles in order to deliver these projects according to plan and within budget. You will also manage large projects, oversee the project portfolio and create formal methodologies for defining project key performance metrics and allocating resources.
Accountabilities
- Define how the scope, goals, and deliverables of projects should support business goals, in collaboration with senior management.
- Assist executive management in the prioritization of projects and allocation of resources to ensure successful completion of projects.
- Define project success criteria and disseminate them to involved parties throughout project lifecycle.
- Effectively communicate and manage project expectations to project managers, owners, sponsors, team members, and other stakeholders in a clear and concise fashion.
- Establish project timelines and milestones/deliverables using the appropriate tools.
- Determine frequency and content of status reports from project managers, analyze results, and troubleshoot problem areas/mitigate project risks.
- Effectively manage project teams' time and allocate resources to ensure deliverables are completed.
- Where required, negotiate with department managers for the acquisition of required personnel from within the company.
- Assess and approve/disapprove need for additional staff or consultants and make the appropriate recruitments if necessary during project's lifecycle.
- Assist and oversee the development of RFP's, bid proposals, contracts, scope of work reports, and other documentation for professional services and IT projects and associated efforts.
- Direct and manage development of all PS and Technology projects within the PMO portfolio from beginning to end.
- Develop best practices, techniques, and tools for project planning, execution, project management, ongoing milestone/deliverable tracking, communication, and key performance metrics.
- Communicate project management standards and techniques to appropriate staff.
- Review budget proposals, and recommend subsequent budget changes where necessary.
- Track and monitor all project milestones and deliverables.
- Identify and manage project dependencies and critical path.
- Accept and assess status reports, change requests, and requirements documentation to ensure smooth project progression.
- Conduct project post mortems and create a recommendations report in order to identify successful and unsuccessful project elements.
- Coach, mentor, motivate, and supervise new project team leads, team members, and contractors, and influence them to take positive action and accountability for their assigned work.
- Identify and resolve issues and conflicts within and between various project teams.
- Interface and comply with the requests of internal and external auditors.
- Manage Special Projects (e.g., Merger/acquisition Planning & Due Diligence, Critical Enterprise Projects) as defined by the CEO or EVP.
- Leverage strengths of the current PMO team members, help to clarify roles and responsibilities, develop and implement training programs in order to maximize and reach optimal individual and organizational goals.
- Assist company leadership in the annual budgeting and planning process.
- Manage organizational cash flow forecasting by working in partnership with vice presidents; and senior leadership; continuously collaborate with vice presidents or project managers to assess the financial efficacy of project operations and establish and implement administrative systems to support project operations.
Key Deliverables during First 12 to 24 Months
- Develop PMOstrategy and project plan for each of the first 3 years.
- Establish Project Management methodology and tools.
- Identify if a particular department needs a Project Manager.
- Hire Project Managers, in consultation with Client department leaders.
- Establish appropriate policies and procedures, and ensure compliance with generally accepted PMP practices and principles.
- Overall project portfolio budget oversight
- Responsible for a master project schedule
- Identify Risks across projects; prioritize risks
- Scope Change / change control across projects
- Broker or resolve conflicts
Qualifications and Requirements
- University degree in Computer Science, Business Administration or Engineering.
- PMP Certification
- A successful track record of planning and leading complex enterprise projects in a fast-paced, high growth, environment.
- Possess an extremely high level of ownership and assume full accountability for managing and delivering projects.
- A master at building and maintaining strong relationships with stakeholders, pro-actively managing risk, and facilitating high performing teams.
- MUST HAVE Experience:
- Healthcare Industry Experience.
- Minimum of 10 years of proven experience in a Senior Project Management position, including all aspects of process development and execution.
- Experience in developing and deploying project best practices, policies, procedures, and processes.
- Proven leadership skills; persuasive, encouraging, and motivating.
- Strong knowledge of project management software (e.g., Microsoft Project)
- Strong knowledge of SAP, including Procurement and Reporting modules.
- Knowledge of the SDLC and custom application development.
- Ability to work with field offices considering cross-cultural sensitivities and respect at all times.
- Strong analytical and problem-solving skills with aptitude for accuracy and details.
- Ability to work effectively in teams and independently; demonstrating initiative and creativity when solving problems.
- Ability to read communication styles of project team leads, team members and contractors who come from a broad spectrum of disciplines.
- Ability to facilitate relations between business groups.
- Proven experience to lead in the achievement of results.
- Experience with a multinational organization.
- Ability to prioritize and effectively execute tasks in a high-pressure environment is crucial.
- Strong initiative, assertiveness, negotiation, problem-solving, decision-making and presentation skills.
- Good logical, interpersonal, written and oral communication abilities with a strong attention to detail.
- Strong execution ability, with an energetic ‘can-do’ team player attitude, and an ability to drive and manage change is important.
- Bilingual in English and French would be a real asset.
- Travel will be required to customer sites and Kallo office locations.
